General Summary: This position is responsible for providing Customer Service and Sales

support to the Mitsui Chemicals America (MCA) businesses, including assisting customers and vendors, processing all sales transactions, coordinating division operations, and following MCA strategy and policies in order to achieve Company objectives.


Primary Job Functions:

  • by following up and assisting in the collection of delinquent accounts;
  • by making decisions in authorized areas;
  • and by working as a team.


Performs Shipment Activities

  • by acting as the primary contact for freight forwarders regarding customs information;
  • by preparing and distributing Certificates of Analysis to customers;
  • by preparing necessary documents for shipment;
  • by receiving shipping schedule from the vendor, and relaying it to the customer;
  • by ensuring all necessary shipping documentation is sent to customers/freight forwarders in a timely manner;
  • by tracking shipments and updating/verifying shipping schedule as necessary;
  • by following up with all necessary parties regarding delivery status;
  • by processing returned products;
  • by following up on samples to ensure delivery.


Processes Sales Transactions

  • by taking customer orders;
  • by issuing and processing purchase orders, and entering into the appropriate database and orders log;
  • by preparing and processing all customer information forms;
  • by managing pending orders;
  • by sending orders to vendors;
  • by posting purchase order receipts;
  • by authorizing vendor invoices and forwarding to Accounting;
  • by processing invoices for customers;
  • by following up and assisting in the collection of delinquent accounts;
  • and by maintaining records of all sales, and preparing and submitting sales/marketing reports periodically (daily, weekly, and monthly) as requested by the Sales Director.


Provides Customer Service

  • by communicating regularly with customers regarding orders;
  • by responding to all customer inquiries and complaints in a timely manner;
  • by investigating and reconciling all shipping related customer grievances;
  • by collaborating with MCA Logistics to trace shipments and to relay all information to customers in a timely manner;
  • and by informing customers of any delays and/or problems involving shipments, and taking the necessary steps to rectify the situation.


Support Sales & Marketing activities

  • by filling in information on price, sample, and other paperwork under the supervisor’s instruction
  • by communicating suppliers including MCI & affiliates under the supervisor’s instruction
  • by providing assistance to managers and directors of Sales & Marketing while they are away from the office.


Performance Administrative Duties

  • by informing the IS Manager of new products, vendors, and customers, and
  • requesting registration.


Other

  • by Performing any other duties as reported by Management.
  • by following MCA's Regulatory Compliance Manual to ensure product compliance.

Working Conditions

  • The noise level in the work environment is usually moderate (i.e., working in a business office
  • with computers, printers, and telephones).
  • The Staff Member must be able to travel on business or work beyond normal business hours as
  • necessary.


Minimum Qualifications Needed:


Language Skills

  • Ability to read, analyze, and interpret general business periodicals, professional journals, and/or government regulations in English.
  • Ability to write reports, business correspondence, and procedure manuals in English.
  • Ability to effectively present information and respond to questions from groups of managers,
  • Staff, clients, customers, and the general public in English.


Other Skills

Must be able to use a computer and such applications like Microsoft Windows, Word, and Excel.


Experience/Education:

Bachelor's degree from four-year College or university; or one to two years related experience

and/or training; or equivalent combination of education and experience.
